OFFICE SERVICES ASSISTANT WANTED IN THE CHICAGO LOOP



Brokers' Risk Placement Service(BRPS) has been offering top rated insurance products and services in Illinois for Twenty-Five years. We are currently searching for an Office Services Assistant to join our team.

TITLE: Office Services Assistant

STATUS: Non-Exempt

REPORTS TO: Office Services Manager

POSITION OBJECTIVE: Responsible for various Office Service functions as assigned.

JOB FUNCTIONS:

1. Stock and distribute supplies throughout the office.

2. Organize and maintain all storage areas.

3. Schedule maintenance and office repairs for service issues (ie, lighting problems, broken cabinets, etc); perform light maintenance as necessary

4. Review accuracy and pay vendor invoices.

5. Negotiate prices and terms for supplies and repairs with each vendor. Maintain proper files.

6. Maintain inventory of basic office supplies

7. Run errands for Company Executives as requested.

8. Work with Office Services Manager to keep on-site and off-site inventories accurate.

9. Deliveries throughout the downtown Chicago area using a company car when needed.

10. Movement and assembly of office equipment such as filing cabinets, desks, chairs, computer equipment, file boxes, etc.

11. Daily off-site pick up of mail at the US Post Office (433 W. Harrison)

12. Full responsibility for Company postage and daily processing of mail, including mass mailings.

13. Stock conference rooms and break rooms daily with coffee, tea, napkins, plates, etc.

14. Responsible for work space moves throughout the office.

15. Assist in convention/tradeshow preparation including shipping arrangements for booth materials and booth set-up.

16. Assist with preparation and break down of board meetings and client meetings.

17. Responsible for all maintenance for copiers and fax machines.

18. Perform special projects as assigned.

QUALIFICATIONS:

· High school diploma.

· Excellent driving record.

· Takes direction well from others.

· Good organization skills with a sense of urgency.

· Attention to detail.

· Demonstrated ability to maintain a good working relationship with all levels of employees.

· Ability to maintain and develop a good working relationship with all vendors.

· Dependable.

· Good communication skills at all levels.

LICENSES/CERTIFICATIONS:

· Valid Drivers' License

SUPERVISORY RESPONSIBILITIES:

· None

PHYSICAL DEMANDS:

· Physical demand of carrying and/or moving boxes

· Ability to lift and transport items weighing between 40 and 80 pounds

· Ability to move office furniture, mail or supplies to their appropriate destination.

EQUIPMENT USED:

· Postage meter, paper cutter, embosser, velobinder, packing materials

· Hand truck, basic tools, ladder

· Company car

· AV equipment and other general office equipment (i.e., copier, phone and fax machine).

ENVIRONMENTAL/ATMOSPHERIC CONDITIONS:

· Usual office conditions

· Outside conditions due to errands.
